Role and Responsibilities

The Purchasing Specialist is responsible for all facets of the purchasing/payables process:

  • Plan and organize purchasing activities including procurement of field, laboratory, computational and office supplies in response to stock requests from staff, as well as support procurement of specialized equipment
  • Research and identify potential suppliers, obtain quotes, negotiate prices and terms & conditions of contracts
  • Prepare and place purchase orders with suppliers, track orders to ensure goods and services are received on time, address issues with delayed or damaged shipments and resolve contractual and supplier performance problems
  • Maintain a system for tracking purchasing requests (quotes, purchase orders, packing slips, invoices, etc.) and follow-up/receive shipments that may include temperature sensitive components
  • Assist with purchase order and supplier invoice automation and software implementation to streamline the processing of transactions; document procedures and initiate improvements to the purchasing function
  • Expedite the purchase order process to ensure financial accuracy and timeliness; generate reports and purchasing summaries for budgeting and accounting purposes
  • Coordinate logistics and brokerage for incoming and outgoing shipments including perishable environmental sample shipments; prepare domestic and international courier shipments
  • Develop and use computer databases to track inventory levels and forecast economic order quantities and reorder points for laboratory consumables
  • Oversee warehouse storage facility space and ensure storage requirements are met
  • Other related duties as required

Qualifications and Education Requirements

  • Minimum three years experience with progressive responsibility in a purchasing role
  • Bachelor’s degree from a recognized university, in a science, environment or technology discipline
  • Or, an equivalent combination of education and experience
  • Valid driver’s license
